Your logbook

Record your coaching hours and tag them however your accreditation body counts. Body-agnostic — ICF, EMCC, AC, or your own categories.

Your logbook is the record of the hours you've coached and the hours you've been coached. It's the audit-ready ledger behind your CPD — the thing that turns practice you did into evidence you can show.

Your logbook is private. Only you can see it. The people you log — practice partners, clients, anyone you record hours with — are never shown your entries, your notes, or your totals. It's your record, for you.

Robin doesn't decide how your hours are categorised. You tag entries however your body counts — ICF's "coaching given" and "coaching received", EMCC's hours scheme, AC's split, your own internal labels. The same entry can carry whichever tags you need, so one logbook serves whichever accreditation you're working toward.

Logging a session

Open Logbook → tap + New entry. A drawer opens with four fields:

  • Date — when the session happened. Past or future, your call.
  • Minutes — how long the session ran.
  • With — the name of the person you coached or were coached by. Type the name freely, or pick one of your saved contacts from the dropdown that appears as you type. If the name isn't saved yet, we save it for you when you log the entry — no extra step, no separate trip to your contacts list. After save, you'll see a toast offering to rename if you spotted a typo.
  • Notes (optional) — anything you want to remember. Reflections, themes, what came up.

Then add tags (more on those below) and save. The entry appears in the list.

Calls you run on Robin log themselves

You don't have to log a Robin video call by hand. When you finish a call you booked or started on Robin, an entry is created for you automatically — the date, the minutes you were actually on the call, and the partner you practised with, all filled in.

It's a draft you finish: open it, add your own tags so it counts the way your accreditation body needs (coaching given / coaching received, and whatever else fits), and add your notes on how it went. You'll get a nudge after the call so it doesn't slip your mind, and Reviewing your sessions gathers the ones still waiting for you. Everything else in this page — editing, filtering, exporting — works on these entries exactly the same as ones you typed in yourself.

How tags work

Every coach starts with five seeded tags — practice session, paid, pro-bono, coaching given, coaching received. They're not prescriptive; they're a starting vocabulary. You add your own as you go.

A few patterns that tend to work:

  • Directioncoaching given vs coaching received. ICF's hours split runs along this line, so most coaches keep these.
  • Contextpaid, pro-bono, practice session, plus whatever your own work breaks into. Some coaches add mentor session, supervision, group, discovery call — whatever fits.
  • Programme — if you're working toward a specific credential, a tag like ACC-track or PCC-prep lets you filter to just the hours that count for it.

You can apply as many tags to an entry as you like.

Adding a new tag

Two ways:

  • From the Settings tab — open Logbook → Settings, tap + New tag, type the name, hit Enter. The input stays open so you can add several in a row. Useful when you're setting up your taxonomy before logging anything.
  • From the entry drawer — open the tag picker and type a new name. If it doesn't already exist, you'll see a Create "your tag" option at the top of the list. Tap it and the new tag gets created + selected on the current entry in one go.

Filtering your entries (and seeing your hours)

Above the entry table are two controls: Filter by tag and Filter by contact. Pick any combination:

  • Tags apply AND — the entry must carry every tag you picked. coaching given + paid shows you only paid coaching you've delivered.
  • Contacts apply OR within the picker — the entry's contact must be one of those you picked. Filter by contact: Sarah, Maya shows entries with either of them.
  • Tags + contacts together apply AND — the entry must match both controls.

The hours total at the top — 47h 30m · 23 entries matching 3 filters — recalculates whenever you change either filter. Pick the combination your body asks for, read the total.

Clear both to see everything you've logged.

Editing or removing entries

Tap any row to open the entry in edit mode. You can change anything — date, minutes, contact name, notes, tags — and save. Or remove the entry entirely from the same drawer.

Edits don't leave a version trail. The current state is the state. We're a tool for your record-keeping, not a compliance system tracking your every change.

Managing your saved contacts

Your Contacts (in the sidebar, or under More on mobile) are the people you coach with. Opening the page shows your list with the count of logbook entries each one is referenced from.

Tap any contact to open the edit drawer. You can hold:

  • Name — used everywhere the contact is referenced.
  • Email — optional. Useful if you're tracking client contact info alongside your hours for ICF / EMCC / AC accreditation evidence.
  • Phone, Organisation, Notes — all optional. Notes is a free-text catch-all for anything you want to remember.

A few rules of thumb:

  • Rename a contact and the rename propagates everywhere — every past logbook entry that references them updates to the new name automatically. The rename is the right way to fix a typo on a name you've used across many entries.
  • Email is unique per coach — you can't have two contacts with the same email address in your own contacts. If you try, we'll ask you to use a different email or merge the entries.
  • Tag your contacts to classify them. Every coach starts with practice partner + coach; add your own (mentor, paid client, ACC-track, whatever fits) from the contact edit drawer or Contacts → Tags. The contacts list filters by tag.
  • Remove a contact that isn't referenced from any entries — safe to delete. We tell you it's safe before you confirm.
  • Remove a contact that's still referenced from logbook entries — we won't let you. Delete or move the entries first, or just rename the contact if a typo's the real issue.

Saved contacts are a Robin-wide thing, not logbook-only — they'll show up in other surfaces as those land. Robin never auto-populates a contact's email or phone from someone else's account — if you have an email on a contact, it's because you typed it yourself.

Managing your tags

Open the Settings tab (top of the Logbook page) to see all your tags as a list, with the number of entries each one is on.

  • Rename a tag — the rename applies everywhere instantly. All entries with that tag reflect the new name.
  • Delete a tag — we'll tell you how many entries it's on first. Deleting removes the tag from those entries; the entries themselves stay.

Exporting your hours

Hit Export CSV in the filter bar — you'll see two options:

  • All entries — one row per logbook entry with Date, Contact, Email, Minutes, Hours, Tags, and Notes columns. The granular dump.
  • Summary per contact — one row per contact you've coached: Client Name, Contact Information, Start Date, End Date, Hours. The big-picture view of who you've worked with and over what span.

Both formats respect your current filter — if you've filtered to coaching given + paid, the CSV contains only those entries. Clear the filter first if you want everything.

PDF export isn't here yet; every accreditation body has its own form layout, so CSV's the universal interchange for now.

What's not there yet

A few things we know are coming, but aren't here in this first version:

  • Date-range filtering — you can filter by tag combination, but not by "the last 3 months" or "since I last applied." Coming.
