Asking for and sharing contact details

Why a practice partner might ask for your details, when it is okay to ask, and why sharing is always your choice.

You can ask a practice partner on Robin for their contact details, but sharing is always optional. Explain why you’re asking, and respect their choice if they’d rather keep things on Robin.

Why might someone ask for my details?

Some coaching bodies ask coaches to keep names and contact details alongside their practice hours for credentialing records. A partner might ask for your details for their log, or prefer to arrange sessions by email.

You can ask what they need, how they’ll use it, and whether it will be shared with anyone else before deciding. You don’t need to share an email address or phone number to message, schedule or have calls on Robin.

What if I’m asking?

Only ask for what you need, and explain the purpose. If the details might be shared with a credentialing body, make that clear and get explicit permission first. Keep a written record of that agreement in your chat.

For example, ICF’s coaching log guidance says: “To protect that trust, always get your client’s consent before adding them to your coaching log.” Check your own body’s requirements.

A “no” needs no justification. Don’t keep asking or look elsewhere for details someone hasn’t chosen to share.

What am I agreeing to when I share?

You decide which details to share and what they can be used for. Giving someone your email for a coaching log doesn’t give them permission to add you to a mailing list or use it for another purpose.

Our community guidelines require explicit consent before sharing another coach’s personal details outside Robin. If someone pressures you or ignores a boundary, you can report them from their conversation or profile.

Using these details in your logbook

  1. Open Contacts, select your partner’s existing contact, and save the name and email address they’ve agreed to share. Robin does not fill in contact details from another coach’s account.
  2. In Logbook, a manually added entry can be linked to that saved contact using the With field. Entries from Robin calls already have a session contact; update that contact’s details rather than creating a duplicate.
  3. Filter your entries to the hours you want to include, then choose Export CSV → Summary per contact. This gives you each contact’s name, email, first and last logged dates, and total hours for those entries.

The summary does not separate paid and pro-bono hours. For that breakdown, filter by your tags before exporting, or choose All entries to export individual entries with their tags. Check that your entries and tags reflect the coaching you delivered, rather than coaching you received.

The CSV is a record you can use when preparing credentialing evidence, not an official ICF form or a guarantee that every logged hour meets a body’s requirements.
