Events for your community or private group

Set up an event for a community or private group, find a time the group can make, and see who is going.

An event is a gathering for a whole community or private group, such as a group practice, a peer supervision circle or a case review. Everyone in the community or group is invited, including people who join later. Robin organises the event, and the call happens on a link you choose, such as Google Meet or Zoom.

Setting up an event

Choose New event in the community or private group, or on your Calendar, and pick where it lives.

  • A community event takes a time you choose. Communities are big, so you set the time and people answer.
  • A private group event starts by finding a time the group can make (below).

Add a title, an optional description and a meeting link, then choose Create event. Robin posts the event in the community or group chat.

Finding a time a private group can make

For a private group, Robin checks each member's availability, sessions and connected calendar, and lists the best times for the day, most people first. Use the arrows to change the day, and pick a length.

In a small group you see everyone on each time: a green ring means free, a red ring means busy. In a bigger group you see only who would miss it. Robin shows who is busy, never why.

If no time on that day suits everyone, Robin suggests a way forward:

  • A shorter event, when everyone is free for less time that day.
  • The soonest day when everyone is free for the length you chose.

You can always go with the time most people can make, or choose Pick my own time instead.

Letting the group vote

When no time suits everyone, choose Let the group vote. Pick 2 or 3 times, on any days, and Robin posts a vote in the group chat. Each member ticks every time they can make. Times show in each person's own time zone.

As the host, you see which time has the most ticks. Create the event from that time, and the vote closes.

Answering an event

Open the event and answer Are you going? with Yes, I'm going or Can't make it. You can change your answer.

A yes puts the event on your Calendar, blocks that time so nobody books you for a practice session then, and shows you the join link. Your Calendar also has a toggle to show events you haven't answered yet.

Meeting links

The host adds the meeting link, when they set up the event or later. Only people going see it.

If your Google Calendar is connected, Robin can make a Google Meet link for you. If it isn't, Connect Google Calendar is in the same place, or paste any link.

Joining a Google Meet privately. If you join signed in to Google, the host may see your Google account's name and email. To keep them private, open the link in a private window and type your first name. The host then lets you in.

Changing, cancelling or copying an event

As the host, you can edit the event, cancel it with a short reason, or Duplicate it for a new time. Everyone going is told when the time changes or the event is cancelled, and the group or community sees it in the chat. A duplicate starts with no answers and no meeting link.

After the event

Robin asks each person who went for one line of feedback for the host, by a notification in the app. Only the host reads the answers. There is no rating or score.

Honest limits

  • Robin doesn't host the video for events, so there's no Robin transcript or recording, and no automatic logbook entry. Log the time yourself in the logbook.
  • Events don't repeat. Use Duplicate for the next one.
